This notice explains how Renovation Notes collects and uses your personal data when you subscribe to our newsletter or contact us through this site, and the rights you have under UK data protection law (UK GDPR and the Privacy and Electronic Communications Regulations). Last updated August 2026.

Who we are

Renovation Notes (“we”, “us”) is the data controller for the information you give us here. You can reach us about privacy or your data at hello@renovationnotes.com.

The newsletter, what we collect and why

When you sign up for our newsletter we collect:

  • Your email address, so we can send you the newsletter.
  • Your first name (optional), only to address the email to you.
  • The topics you tell us you’re interested in (optional), such as trades or professional contacts, materials and price data, builders and contractors, or specific work packages like loft conversions and extensions. We use these only to send you content that is relevant, rather than everything.
  • A record of your consent, the date and time, the exact wording you agreed to, the page you signed up on, and your IP address and country. We keep this so we can demonstrate that you gave consent, as the law requires.

Our legal basis is your consent. We only send you marketing email because you asked us to by ticking the consent box. We also use double opt-in: after you sign up we send a single confirmation email, and you only join the mailing list once you click the link in it, if you don’t confirm, you won’t hear from us. You can withdraw your consent at any time (see below), and doing so is as easy as giving it.

The Pro waiting list

If you join the waiting list for Renovation Notes Pro, we collect the same categories of information as for the newsletter, your email address, optional first name, optional project type, and a record of your consent, for the same reason: so we can email you about the Pro launch because you asked us to, and prove that you did. We use the same double opt-in: you only join the list once you click the confirmation link, at which point you’re assigned a queue position. The legal basis is your consent, and you can withdraw it at any time via the unsubscribe link in any email or by writing to hello@renovationnotes.com.

Other information you send us

If you use a contact, question or referral form on the site, we collect the details you provide (such as your name, email, message, and, for referrals, project details) so we can respond or pass your enquiry to the right person. The legal basis for this is our legitimate interest in answering your enquiry, or taking steps at your request.

Who processes your data

We use a small number of trusted providers who act on our instructions:

  • Cloudflare, hosts the site and our database, where your sign-up and consent record are stored.
  • Brevo (Sendinblue), our email platform, which stores your contact details and sends the newsletter on our behalf.

Some of these providers may process data outside the UK. Where they do, that transfer is covered by appropriate safeguards (such as UK-approved standard contractual clauses). We do not sell your data or share it with anyone for their own marketing.

How long we keep it

We keep your newsletter details for as long as you stay subscribed. If you unsubscribe or ask us to erase your data, we remove you from the active mailing list. We may keep a minimal record of your consent, and of your unsubscribe, for a limited period only as evidence that we handled your preferences correctly.

Your rights

Under UK GDPR you have the right to:

  • withdraw your consent to marketing at any time;
  • ask for a copy of the personal data we hold about you;
  • ask us to correct or erase your data;
  • ask us to restrict or object to how we use it;
  • ask us to port your data to another service.

The quickest way to stop the newsletter is the unsubscribe link at the bottom of every email, one click. For anything else, email hello@renovationnotes.com and we’ll action it.

Complaints

If you’re unhappy with how we’ve handled your data, we’d like the chance to put it right, but you also have the right to complain to the UK’s regulator, the Information Commissioner’s Office (ICO), at ico.org.uk.

Changes to this notice

If we change how we handle your data we’ll update this page and, where the change is significant, tell subscribers by email.
